2. What we collect and how
Information you give us
When you complete a claim form or contact form on our site, we collect the details you provide. This typically includes your name, email address, phone number, postcode, and a description of your claim. Depending on the claim type, we may also collect special category data such as medical or health information.
Technical and usage data
When you visit our website, we automatically collect certain technical data including your IP address, browser type and version, operating system, referring URL, pages visited, and time spent on each page. We use Microsoft Clarity to understand how visitors interact with our site (see our Cookie Policy for details).
3. Why we process your data and our lawful bases
We process your personal data on the following lawful bases under the UK GDPR:
- Contract: To assess your enquiry, connect you with a solicitor, and manage your claim.
- Legal obligation: To comply with legal, regulatory, and tax requirements.
- Legitimate interests: To operate and improve our website, to detect and prevent fraud, and to ensure network security.
- Consent: To send you marketing emails (where you have opted in) and to share your enquiry with partner law firms (where you have ticked the consent checkbox).
Special category data
Where we collect medical or health information as part of your claim, we rely on your explicit consent and/or the basis that processing is necessary for the establishment, exercise, or defence of legal claims (Article 9(2)(a) and 9(2)(f) UK GDPR).
4. Who we share your data with
We may share your personal data with the following categories of recipients:
- Hosting and CDN: Our website is hosted on Netlify, which processes data to serve the site to you.
- Form processing: Enquiry forms are submitted via Netlify Forms and forwarded to our team via Microsoft Outlook.
- Analytics: Microsoft Clarity collects anonymised usage data to help us understand how the site is used.
- IT and security providers: Third-party providers who help us maintain, monitor, and secure our systems.
- Professional advisers: Accountants, auditors, and legal advisers where necessary for our business operations.
- Panel law firms (partners): See below.
Sharing and sale of enquiries to partner law firms
We share and sell enquiries to panel law firms only if you tick the consent checkbox on the relevant form. “Sell” means we may disclose your enquiry details to a partner law firm in exchange for money or other valuable consideration (for example, an introduction or referral fee).
Once your details are shared, the partner law firm becomes an independent data controller and will process your data under their own privacy policy. You can withdraw your consent at any time by contacting us at admin@tenantslawadvice.com, although this will not affect data already shared before withdrawal.
5. International transfers
Some of our service providers (for example, Netlify and Microsoft) may process data outside the United Kingdom. Where this happens, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement (IDTA), the UK Addendum to the EU Standard Contractual Clauses, or transfers to countries covered by a UK adequacy decision.
6. How long we keep your data
- Enquiries and claim data: 24 months from last contact, unless a claim is ongoing.
- Tax and financial records: 6 years to meet HMRC requirements.
- Server and access logs: 12 months.
After the applicable retention period, your data is securely deleted or anonymised.
7. Security
We take the security of your data seriously. We use TLS encryption in transit, multi-factor authentication for staff accounts, access controls based on the principle of least privilege, and regular patching and updates to our systems. While no system is completely secure, we work to protect your data against unauthorised access, loss, or misuse.
8. Your rights
Under UK data protection law, you have the right to:
- Access the personal data we hold about you.
- Rectify inaccurate or incomplete data.
- Erase your data in certain circumstances.
- Restrict processing in certain circumstances.
- Data portability — receive your data in a structured, commonly used format.
- Object to processing based on legitimate interests or for direct marketing.
- Withdraw consent at any time where consent is the lawful basis.

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
9. Children
Our services are not directed at children under the age of 18. We do not knowingly collect personal data from children. If you believe a child has submitted data through our site, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated “Last updated” date. We encourage you to review this page periodically.
